Imagine your organization’s confidential data being accessed by unintended recipients due to email leaks. This could include anything from personal identification details to critical documents like tender quotations or client NDAs. Such breaches may result in data exposure, legal issues, and reputational damage. How can you ensure that only the intended recipient can access the email content and that it becomes unavailable after a set time?
A simple yet reliable solution: Sending a SecurePass email.
What is SecurePass Email?
Zoho Mail’s SecurePass email feature ensures that only the designated recipient can view the email’s contents. When an email is sent as a SecurePass email, sensitive information remains protected. Instead of delivering the actual content via email, recipients receive a link that requires a SecurePass code for access. The passcode is exclusively sent to the recipient’s email, ensuring only they can open the message. Additionally, the email cannot be forwarded, copied, printed, or downloaded, preventing unauthorized sharing.
Steps to Send a SecurePass Email:
1. Log into your Zoho Mail account.
2. Click on the New Mail button in the left panel.
3.Select the Secure Email icon from the email header.
4.Choose an expiry date for the email using the dropdown menu. You can either pick a predefined duration or set a custom expiry date.
5.Click Apply to enable SecurePass protection for the email content.
If necessary, you can modify the expiry date or remove SecurePass protection using the available options in the compose window.
6.Complete your email composition and click Send.
