We handle sensitive information almost every day—whether it's being sent or received via email. While Zoho Mail already encrypts messages both during transmission and storage, the risk of unauthorized access or data breaches still lingers. This naturally leads to a crucial concern:

That’s where Zoho Mail’s PGP (Pretty Good Privacy) integration comes into play, offering an additional layer of protection for handling private communications.

What is PGP?

Pretty Good Privacy (PGP) is an encryption method designed to safeguard email content by encrypting the message itself. It uses a dual-key system—a public key and a private key—to protect the integrity and confidentiality of emails. In addition to encrypting messages, PGP also supports digital signatures by hashing the message, confirming the identity of the sender.

Let’s break this down with an example:

Suppose John wants to securely send a message to Sam. Sam first creates a public and private key pair. He shares his public key with John, while the private key remains securely with Sam.

John then encrypts his email using Sam’s public key and digitally signs the message using his own private key. When Sam receives the email, he decrypts it using his private key (after entering a secure passphrase) and verifies the sender’s identity via the digital signature.

Enable PGP

The users in an organization can access PGP integration only when the organization admin enables it from the Zoho Mail Admin Console. Follow the steps mentioned below to enable PGP for your account:
  1. Sign into your Zoho Mail account.
  2. Go to Settings >Integration.
  3. Click on PGP from the list .
  4. You can now choose to Generate a new key pair or Import keys.
  5. keys that have been added will be displayed under Key Management.

After setup, every email you send will be protected with PGP encryption, ensuring that your sensitive communications remain private and secure.
