Zoho Analytics Rolls Out a New Way to Add Users – Here’s What’s Changing

Important Update: New User Invitation Flow in Zoho Analytics

Hello everyone,

Zoho have introduced a key enhancement in how users join your Zoho Analytics Organization and Workspaces. This change is designed to strengthen security and provide more control over user access.

What’s Changing?

Until now, when admins added users, they were automatically included in the organization. Going forward, all new users will receive an email invite and will need to manually accept it to join.

This applies to users added through:

  1. Organization Settings
  2. Workspace Settings
  3. Groups
  4. Direct sharing of dashboards, reports, or tables

No matter how the invite is triggered, users must accept it before gaining access.

How to Add Users Now

Users can be invited in any of these ways:

  1. From the Organization Settings
  2. Within Workspace Settings
  3. While sharing views (like dashboards or tables)
  4. When adding users to Groups

Regardless of method, the new invite-and-confirm process applies.

What Happens for Different User Types?

  1. Existing Zoho Analytics Users
  2. Receive both an email and in-app invite
  3. Clicking Join Organization opens a screen to Accept or Decline

Once accepted, they land on the organization’s home screen

Existing Zoho Users (not yet using Zoho Analytics)
  1. Get an email invite
  2. Clicking the link takes them to an intermediate screen to accept or decline
  3. Once accepted, they’re redirected to the org’s home page
If they access a shared link before accepting, they'll still be prompted to join

Brand New Zoho Users

  1. Receive an invitation email
  2. Clicking it shows two options: Sign Up & Accept or Reject
  3. Choosing Sign Up & Accept starts the Zoho registration
  4. After sign-up, they’re automatically added to the org and redirected

NotesNote for Admins: If a non-Zoho user was added to your organization before this migration, but did not create a Zoho account from the earlier notification email, they will not receive the new invitation automatically. You’ll need to manually re-invite these users after the migration to grant them access.

 Rollout Timeline

This update is being introduced in phases starting this week, so keep an eye out for the new experience.

This change ensures that only intended users access your Zoho Analytics environment, enhancing transparency and protection for your organization’s data. Make sure your team is aware, and update your onboarding steps accordingly!
