Zoho Desk: Automatic Role & Profile Handling in Sandbox Environment

Hello everyone!

Zoho has updated how user roles and profiles are assigned when moving agents from Production to Sandbox.

What’s new?

When you copy users from Production to Sandbox:

  • If the same role and profile already exist in the Sandbox, the user will be assigned to those automatically.
    Example: If John has the role “Technical Lead” and the profile “Manager” in Production, and both exist in Sandbox, he will get the same setup there too.

  • If the role or profile doesn’t exist in Sandbox, the system will assign the user to the default options:
    Role: CEO
    Profile: Data Administrator

This update applies from 2nd January 2026, 8:00 AM IST.

How does this benefit teams?

  • Same permissions as Production: Users keep their original access levels, making Sandbox testing more accurate and realistic.

  • No more manual adjustments: Users missing a matching role or profile are placed in the default setup automatically, saving time and effort.

This enhancement is now available for all users across all data centers.
